Criminal Record & Child Abuse Registry Check Policy — Aethos Taekwondo

At Aethos Taekwondo, the safety, dignity, and well-being of every student is our highest priority. We are committed to providing a training environment built on trust, respect, and protection for all children, youth, and adults in our program.

To uphold this commitment, we require both Criminal Record Checks and Child Abuse Registry Checks (also known as Vulnerable Sector / Child Abuse Registry screenings, as applicable in our province) for adults in positions of authority.

Why we require these checks

Our instructors, volunteers, and staff work closely with children and youth in positions of trust. These checks help us:

  • Create a safe environment for minors

  • Prevent individuals with a history of harmful behavior from working with students

  • Meet and exceed best practices for youth sport and community programs in Canada

  • Provide peace of mind to families

  • Uphold the integrity and professionalism of Aethos Taekwondo

These screenings are a proactive step to reduce risk and protect every student who trains with us.

Who must complete these checks

The following individuals must complete and maintain current checks:

  • Head instructors and assistant instructors

  • Volunteer coaches and helpers

  • Staff with regular student interaction

  • Any adult supervising classes, events, or tournaments

No one may begin working in these roles until checks are completed and approved.

When checks are required

  • Prior to starting any instructional or supervisory role

  • Renewed on a regular cycle as determined by Aethos Taekwondo

  • Upon returning after an extended absence

Confidentiality and privacy

We respect the privacy of all applicants:

  • Results are kept strictly confidential

  • Information is reviewed only by designated leadership

  • Records are stored securely and not shared unless required by law

Our commitment to Safe Sport

These checks are part of a broader commitment to:

  • Safe sport principles

  • Ethical leadership and professional conduct

  • A respectful and supportive training culture

  • Protecting every student who steps onto our mat

At Aethos Taekwondo, safety is not optional — it is foundational to who we are.
